Dealing With the Unexpected

One of the main problems of the working world is drop-in visitors, We can spend half or more of our workday dealing with unexpected visitors. Others of us make our living by playing the role of a visitor. If you are a sales representative, such is the nature of your job.
Like meetings, drop-in visitors give us all sorts of excuses to be ineffective. We can socialise, provide an audience, ask others for their ideas (when our mind is usually made up anyway) and practise the art of procrastination ( Wow what a pretence) with all of its wonderful payoffs.
With that basic policy in mind, here are some ways to manage drop-in visits:
- Pin down who your main drop-ins are. Keep a visitor log for a week or two.
- Close your door. This might be a problem if you are in a supervisory or managerial position. Makes times for access if possible.
- Remove any extra chairs and other social amenities from your office
- If someone walks into your office unexpectedly, stand up and remain standing.
- If someone knocks on your door, confer with them outside your office. The idea is to keep visitors from firmly planting themselves in your office or your home.
- Be candid with visitors- If someone drops in and asks if you're busy, answer 'Yes'. If you can see them for only five minutes, tell them so. If they need more time, make an appointment.
